This Privacy Policy describes how Autopilot Systems ("we," "us," or "our") collects, uses, shares, and protects your personal information when you visit our website, contact us, or use our Services. We've kept it as plain-English as we can.
1. Who We Are

2. Information We Collect
We collect information in three ways:
- Information you give us — your name, email address, phone number, business name, business address, payment information, and anything else you submit through forms, calls, or messages.
- Information from your use of the Services — log data, IP address, browser type, pages visited, time spent, and similar usage analytics. We use cookies and similar technologies for this.
- Information from third parties — when you connect a third-party service (like Google Calendar, Stripe, or your CRM) to our Services, we receive information from those services as authorized by you.
3. How We Use Your Information
We use your information to:
- Deliver, configure, and improve our Services
- Communicate with you about your account, support, billing, or product updates
- Send marketing communications you've opted in to (and only those — see Section 6)
- Comply with legal obligations and enforce our Terms of Service
- Detect and prevent fraud, abuse, and security incidents
4. How We Share Your Information
We do not sell your personal information. We share it only with:
- Service providers who help us deliver the Services. These include (without limitation): HighLevel (CRM platform), Stripe (payments), Twilio (telephony), Vapi (voice AI), Make.com (automation), Anthropic (AI), Mailgun (email delivery), and Google (calendar and email integration). Each operates under their own privacy and security commitments.
- Legal recipients when required by law, subpoena, court order, or to protect our rights, your safety, or the safety of others.
- Business transfers — if Autopilot Systems is acquired or merged with another company, your information may be transferred as part of that transaction. We'll notify you before your information is subject to a different privacy policy.
5. SMS and Phone Communications
SMS opt-in is required. We will never send you marketing or transactional SMS messages unless you've explicitly opted in by submitting a form, signing a service agreement that authorizes SMS, or texting us first. Message frequency varies. Message and data rates may apply.
If you receive SMS from us:
- Reply STOP at any time to unsubscribe. You'll receive one final confirmation message.
- Reply HELP for assistance or contact us at shaun@autopilotsystems.org.
- Your phone number and SMS opt-in consent are never shared with third parties for their own marketing purposes, and they are not transferred to affiliates or unrelated third parties for marketing.
If we send SMS on your behalf to your customers as part of the Services, you (the business owner) are responsible for collecting proper consent from those recipients. See our Terms of Service, Section 5.
6. Email Communications
We send transactional emails (account, billing, support) to anyone who signs up for our Services. We send marketing emails only to people who've opted in. Every marketing email contains an unsubscribe link — clicking it removes you immediately.
7. Cookies and Tracking
We use cookies and similar tools to remember your preferences, understand how the Services are used, and (for marketing-page visitors) measure ad effectiveness. You can disable cookies in your browser settings, but parts of the Services may stop working correctly.
8. Data Retention
We retain your information as long as your account is active or as needed to provide the Services. After you cancel, we retain your data for up to 90 days for backup and recovery purposes, then delete or anonymize it — except where longer retention is required by law (for example, billing records).
9. Data Security
We use industry-standard security measures to protect your information, including encryption in transit (HTTPS), access controls, and reputable cloud infrastructure. No system is 100% secure — if we ever discover a breach affecting your data, we'll notify you in accordance with applicable law.
10. Your Rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you
- Correct inaccurate information
- Delete your information (subject to legal retention requirements)
- Opt out of marketing communications
- Restrict or object to certain processing
- Receive a portable copy of your data

11. California Privacy Rights (CCPA/CPRA)
California residents have additional rights under the California Consumer Privacy Act, including the right to know what personal information is collected, the right to delete, and the right to opt out of the sale of personal information. 12. Children's Privacy
Our Services are not directed to children under 16. We don't knowingly collect personal information from children. If you believe we have, contact us and we'll delete it.
13. International Users
Autopilot Systems is based in the United States. If you access our Services from outside the U.S., your information will be processed in the U.S. By using the Services, you consent to this transfer.
14. Changes to This Policy
We may update this policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated by email or through the Services at least 14 days before they take effect.
